Refund and Cancellation Policy

1. General Policy

All bookings are subject to the specific cancellation and refund terms provided at the time of confirmation. Eligible refunds will be processed within 7–14 business days, after applicable deductions. Exceptions may be handled at our discretion.

Due to the personalised and third-party nature of our services, not all bookings may be refundable. We strongly advise members to review the terms carefully prior to confirmation.

2. Refund Process

For eligible refunds decided as per the refund terms provided at the time of confirmation and at the sole discretion of Vara5, the amount will be credited back to the original payment method used for the booking. Any applicable cancellation fees or non-refundable portions will be clearly communicated at the time of cancellation request.

The refund processing time is typically 7-14 business days but may vary depending on your payment provider or banking institution.

3. Modification Policy

Requests to modify bookings (change of dates, services, or participants) will be handled on a case-by-case basis and are subject to availability and potential price adjustments. Modification fees may apply and will be communicated at the time of the request.

4. Cancellation by Vara5

In rare circumstances, Vara5 may need to cancel a confirmed booking due to unforeseen circumstances. In such cases, we will strive to offer either an alternative arrangement of comparable standard or refund the amounts paid to the extent possible.

5. No-Show Policy

Failure to show up for a booked service without prior cancellation notice ("no-show") will typically result in the full charge being retained with no refund provided.

6. Force Majeure

Vara5 shall not be liable for any failure or delay in performing its obligations where such failure or delay results from any reason that is beyond its reasonable control. Such causes include, but are not limited to: natural disasters, adverse weather conditions, power failure, utility failure, acts of terrorism, war, government action, or pandemic.

In the event of a force majeure situation, we will work with our members and service providers to find reasonable solutions, which may include rescheduling services or providing credits for future use rather than monetary refunds.

7. Special Circumstances

Vara5 reserves the right to review cancellation and refund requests in cases of medical emergencies, natural disasters, or other exceptional circumstances on a case-by-case basis.
